Private Label Supplier - Yiwu, China

Private label samples before you commit

Ready samples from the sample room, customised samples with your branding, and a pre-production sample that locks the spec before bulk production starts.

How Private Label Samples Work Before a Bulk Branded Order

Sampling is the stage where a private label project stops being a catalogue idea and becomes a product you can hold, test and approve. At The Private Label Supplier, operated by Mutual Trade (Yiwu Michu Guomao), every bulk branded order begins with a physical sample, because logos, materials, colours and packaging only reveal their real quality in your hands, not in a photo. This page explains how private label samples are arranged, what each sample type is for, and how an approved sample becomes the reference that bulk production is measured against.

We are a sourcing and supply-chain service based in Yiwu, not a factory. Products are made by vetted supplier factories around Yiwu International Trade City and the industrial belts of Jinhua, Yongkang, Pujiang and Dongyang. Sampling is how we connect your specification to those factories with as little ambiguity as possible.

The Two Sample Types

Ready samples from the Yiwu sample room

If you are still choosing a product, the fastest route is a ready sample: an existing product from our sample room, in its standard specification. Ready samples are free or low cost, with courier charges billed to the buyer's account. They let you judge materials, weight, finish and general build quality before committing to any customisation. It is also the practical way to compare the 3-5 alternative options we prepare for each request, which differ in supplier, material or specification and are presented with a comparison of cost, lead time and quality risk.

Customised first samples with your logo and packaging

Once a product direction is chosen, we arrange a customised first sample carrying your logo, labels and packaging. This is where logo printing, foil stamping, embroidered labels, Pantone colour matching, material upgrades and packaging formats such as colour boxes, hangtags, blister packs, OPP bags and gift boxes are tested in physical form. A customised first sample typically takes 7-15 days. Customised samples are prepaid, and where a project involves structural development, the feasibility assessment and detailed cost breakdown (materials, labour and mould amortisation) are completed before the sample plan is locked.

A Fast Sampling Channel for Small Runs

Not every project needs a long development cycle. Our fast sampling channel prioritises small sample runs of 1-50 pieces, which suits brand owners testing several colourways, packaging concepts or logo positions at once. During revisions, the team provides photo and video feedback from the sample bench so you can see exactly what has changed between versions without waiting for each courier delivery. This is particularly useful for categories where small details decide the outcome: logo placement on bags, label sewing on textiles, print registration on stationery sets or finish on jewellery and hair accessories.

What a Sample Is Actually For

A sample is a decision tool, and it should be checked against a written list rather than a general impression. The points that matter most:

  • Materials: actual hand-feel, thickness, weight and construction, compared with what was quoted. Material upgrades such as food-grade, eco or antibacterial options should be confirmed on the physical piece.
  • Logo placement and method: print, foil, embroidery or label, at the correct size and position, with adhesion and durability checked.
  • Pantone colour against the physical sample: screens misrepresent colour. Approve the Pantone reference on the actual substrate, under neutral light, not on a monitor.
  • Packaging fit and finish: whether the colour box closes cleanly, the hangtag sits right, the blister pack seals, the instruction manual fits and folds correctly, and barcodes, SKU labels, FBA labels or Prop 65 warnings are placed as required.

The final step is the pre-production sample (PPS). The PPS confirms and locks the written specification before mass production, so bulk goods can be checked against the approved sample rather than against an interpretation of an email thread. Nothing goes into production until the PPS is signed off.

How Samples Feed the Order Decision

Sampling and quality control are one continuous chain. The sequence is straightforward: sample approval, then bulk order, then in-process and outgoing inspection against the retained sample. Our full-process checks cover incoming, in-process, first-piece, final and outgoing inspection, using AQL sampling at level 2.5/4.0, or a stricter 0.65 level on request. Inspection reports include high-definition photos, video, a defect list and re-inspection records, and buyers may appoint third-party inspectors such as SGS, BV, TUV or Intertek. Batch samples and records are kept for at least 12 months, so a repeat order or a dispute can always be traced back to the approved reference. For buyers comparing supply routes, this retained-sample discipline is one of the practical differences between working with organised private label suppliers and managing individual factories yourself.

Practical Notes on Sample Fees and Testing

  • Sample fees are prepaid. Ready samples are free or low cost with courier charged to the buyer's account; customised samples are prepaid in full.
  • Where a destination market requires compliance testing, testing samples go through third-party laboratories. We coordinate with ISO 17025 labs such as SGS, BV, HQTS, Intertek and TUV, and help prepare documents including EN71, ASTM F963 and CPSIA, REACH and RoHS, FDA food-contact testing, CE documentation, CPC, declarations of conformity, multilingual warning labels and certificates of origin. Testing fees are charged directly by the laboratory; coordination and document preparation is a separate service fee. Test reports typically take about 15-45 days.
  • Certificates available upon request.
  • Sample quantities do not commit you to a bulk order, but bulk minimums apply per style once you proceed, typically 100-800 pieces across categories. If you are at the planning stage, our guide to how to start a private label brand sets out the sequence from concept to first container.

Frequently Asked Questions

How long does a private label sample take?

A customised first sample typically takes 7-15 days, and our fast sampling channel is designed for small runs of 1-50 pieces. Ready samples from the Yiwu sample room ship immediately, subject to courier time. Structural development projects are assessed individually, with a development cycle of typically 15-60 days before a first sample plan is locked.

Do I pay for samples?

Ready samples are free or low cost, with courier charged to your account. Customised samples with your logo and packaging are prepaid. Sample fees are separate from bulk order pricing and are confirmed before sampling begins.

Can the approved sample be used to check my bulk order?

Yes. The approved pre-production sample becomes the reference for in-process and outgoing inspection, and batch samples and records are kept for at least 12 months. If you appoint a third-party inspector, they can inspect against the same retained sample. To start a sampling request, contact [email protected].
